Meetings with leads and clients
Book a meeting with a lead or a client, see every meeting on one page and on the Schedule, and mark how each one went.
Where meetings live
Open the Firm panel in the sidebar and choose Meetings. Overview shows the next meeting and the days ahead. All meetings is the full list, in two parts: Upcoming and Past.
You see the meetings you are on, and the ones with a lead or a client you can open.
Booking a meeting
- Press New meeting.
- Under With, pick the lead or the client. Opened from a lead or from a client's page, they are already filled in.
- Set the date and the time.
- Under Attendees, the first person is the host, and it starts as you. Press the plus beside them to add members.
- Under Where, choose Video, Phone, Our office or Their place, and give the link, the number or the address.
- Press Book meeting.
For a video meeting, paste the link from Zoom, Teams or Google Meet. The meeting then wears that service's name, and a button to join appears when it is about to start.
If the host or an attendee is not on that client's list, Vylan asks before it saves. Add and save puts them on the client's list. Save without adding books the meeting and leaves the list as it is.
A meeting's own screen
Press a meeting anywhere to open it. Its screen shows who it is with, when and where, the Host and the attendees, your notes and its history. Reschedule changes the day and the time. Cancelling and deleting are in the menu at the top.
How it went
A meeting that has ended reads as Completed. If they did not come, mark it No-show. One cancelled ahead of time stays on the list as Cancelled.
On a client and on a lead
A client's Communications tab lists every meeting with them. While one is coming up, their first tab shows it too, under Upcoming meetings. A lead's panel has a Meetings card of its own.
On the Schedule
Meetings sit on the Schedule at their hours, on the host and on every attendee. Untick Meetings in the side panel to hide them. New entry ▸ Meeting books one from there.
A meeting with a lead or a client you cannot open shows as Busy on the people in it: you see that the hour is taken, never what the meeting is.
In a meeting
While a meeting you host or attend is on, your status reads In a meeting and says when it ends. It turns off by itself. Time off and a status you set yourself come first.
